How Many Two-Seat Sets Fit a Room, and Where They Go
Seat counts come from the usable area and the service path, not from the lease. Here is how the numbers work out on a 40 sqm room.

Start with the usable area, not the floor area
Measure the room after the counter, the service path and the toilet wall are drawn in. On a 40 sqm cafe with a 6 m counter, the seating area is closer to 22 sqm, and every count below is based on that number, not the lease.
Plan 2.2 sqm per two-top once chairs are pulled out. Chairs need room to slide back, and a guest never sits at the table edge — they sit 100 mm away from it.
Circulation width decides how many rows you get
Service paths need 900 mm for a tray and 1100 mm where staff pass each other. Between two occupied chairs, 450 mm is the minimum that still lets someone squeeze through, and 600 mm is what feels normal on a Saturday.
Two rows of seating with one 1100 mm path is usually better than three rows with a 700 mm gap. The third row looks good on the drawing and fails in service.
Mixing two-tops and four-tops changes the daily revenue
The same room of two-seat sets turns 6–8 covers a day at a two-top and 3–4 at a four-top. If your trade is morning coffee and laptops, two-tops win. If it is weekend brunch with groups, four-tops win.
Splitting 60 / 30 / 10 between two-tops, four-tops and cafe booth seating covers both without wasting floor.
Counter seats are the cheapest seat you can add
Counter seating costs less per seat than any table, because it borrows the counter you already built. Allow 600 mm of counter run for one stool, and 250–300 mm of knee space under it.
Do not put stools on a counter that is also the pickup point. Guests standing to collect orders will be behind seated guests for the whole shift.
What to measure before you order anything
Write down four numbers: the longest clear wall, the width of the door opening, the distance from the counter to the nearest table edge, and the ceiling height above the seating.
Those four numbers decide the run lengths, the largest set that fits through the door, the service path, and whether a high back will feel like a wall. Send them with the floor plan and the quote comes back right the first time.
Checking the plan against the chair you picked
Print the chair footprint from the spec sheet and draw it at 1:20. Chairs 440–480 mm deep push through the table edge more than a slim frame, and that difference shows up as a bruised knee at the fourth table in the row.
The same drawing catches the stack. stacking cafe chairs chairs stack eight high, which is 8 × 100 mm of storage you have to find a wall for.
What the purchase order has to say
Furniture orders that go wrong usually went wrong on paper. The line that causes the argument is rarely the price — it is the finish, the size tolerance or the packing.
Write these onto the order: model number, finish name and code, upholstery code, two-seat set overall size with a tolerance of plus or minus 5 mm, carton count, and the spare parts list. Anything not written is a guess at the other end.
Three things to check the day it lands
Open one carton per model before signing the delivery note. Check the frame for a bend at the leg, the top for a chip on the edge, and the seat for a colour difference against the sample you approved.
Photograph anything you accept with a note. Defects recorded on the delivery day are warranty claims; the same defect reported three weeks later is a discussion.
How the quote is actually built
Frame, upholstery, finish, packing and freight. Those five lines cover almost all of it, and the only one that varies with quantity is frame and upholstery.
Ask for the unit price at 20, 50 and 100 pieces. Quotes that do not move between those steps are either already at the floor or padded at the top.
Ordering the same thing again in two years
Dye lots change. The frame you reorder in year three will match the drawing and may not match the seat next to it, which is why the spec sheet matters more than the photo.
Keep the finish code and the upholstery code on file. cafe furniture catalogue reorders from that code without a new sample round, which saves three weeks.
